circle-userAdding Team Members

LeanScaper AI is designed to connect your entire team. One account for your company, with everyone invited to collaborate.

One Account, One Team

When you sign up for LeanScaper AI, you create a company account. This is your shared workspace where everything lives: LeanDocs, LeanBoards, agents, files, and conversation history.

Don't create separate accounts for each person. Instead, invite team members to join your company account. This keeps everything connected and lets the AI learn from your entire operation.

Unlimited seats on every plan. There's no per-user fee. Add your whole team: owners, office staff, crew leads, field workers. The more people using the system, the more value you get from huddles, field requests, and shared knowledge.

How to Invite Team Members

  1. Click your company name in the upper left corner

  2. Select Settings

  3. Click the Team tab

  4. Click Invite Teammates

In the invitation dialog:

  1. Enter email addresses (separate multiple emails with commas)

  2. Select a role from the dropdown

  3. Click Send Invitation

The person receives an email with instructions to create their login and join your company.

Managing Pending Invitations

Invitations that haven't been accepted appear at the top of the Team settings page. Each shows the email address and when the invitation was sent.

You can:

  • Resend if the person didn't receive or can't find the original email

  • Cancel if you sent it to the wrong address or no longer want to invite that person

Managing Existing Team Members

All current team members appear in the Manage Team section. Each card shows:

  • Name (if they've set one)

  • Email address

  • Their role badge (Employee, Finance Admin, Admin)

  • Group memberships (if assigned to any groups)

Click the three-dot menu on any team member to:

  • Update Groups - Change their role or add them to groups

  • Remove User - Remove them from your company account

What Team Members Can Do

When someone joins your company account, they can:

  • Chat with Lana and access specialist agents

  • Record huddles and submit field requests (on mobile)

  • View LeanBoards they have access to

  • Access LeanDocs and files shared with them

What they can access depends on their role and group memberships. See Roles & Groups for details.
